The problem
Reviews lived in the review tool. Webinar attendance lived in the webinar tool. Every segment that used either was built from an export, and it was stale the day after someone built it.
What we built
A scheduled pull from the review platform matches each review to the CRM person by email and writes the rating and the verified-purchase flag to fixed fields. The first pass covered 4,784 reviews, 99.4 percent of them verified purchases, and updated 4,042 person records with 0 failures.
The webinar side does the same for registrations and attendance: 17 webinars, 1,485 registrations, 700 of them attended. 828 person records and 10 fields updated with 0 errors.
Both write idempotently and log every run. The derived properties push to Klaviyo on the same schedule, so a segment like "reviewed us and attended a webinar" is built from the CRM record, not from two exports someone joined by hand.
No AI in this build. Here's why that was right: a review has a rating and a verified-purchase flag, and a webinar has a registration and an attendance. Both are already structured. A scheduled sync writes them; nothing needs to be interpreted.
Scheduled pulls from the review platform and the webinar platform, matched to CRM persons by email, written idempotently to a fixed set of fields, with a run log per execution and derived properties pushed to Klaviyo so segments are built from the CRM, not from exports.
