The Challenge
They'd been using Salesforce for years. All their investment reporting still lived in Excel.
A mid-sized private equity firm with six investment professionals and over a hundred portfolio investments. Every analysis — deal flow by industry, entry multiples, valuation benchmarks, ROI by co-investment partner, deal source performance — required a manual export from Salesforce, a pivot table, and someone's afternoon.
The spreadsheets were constantly out of date. By the time an analyst finished updating the quarterly portfolio view, the underlying data had already changed. Discrepancies between what Salesforce showed and what Excel reported slowed decision-making and eroded confidence in both systems.

Our Approach
This wasn't an org overhaul. It was a focused engagement: take the data they already had in Salesforce and make it useful.
We scoped three areas:
- Data architecture: The existing Salesforce schema had inconsistencies that made reliable reporting impossible. Fields that should've been standardized were free-text. Relationships between portfolio companies, deals, and co-investors weren't modeled cleanly. We refined the architecture for consistency without disrupting existing workflows.
- Reporting logic: Some of the analysis they needed — MOIC calculations, weighted entry multiples, source attribution across co-investment partners — went beyond standard Salesforce reporting. We scoped where native reports and dashboards would work and where custom Apex was needed.
- Data integrity: Clean reports require clean data. We designed validation rules and processes to enforce data quality going forward so the dashboards would stay accurate without manual policing.

The Solution

Custom Apex reporting. For analysis that exceeded native capabilities — MOIC by industry, ROI by co-investment partner, valuation benchmarks across the portfolio — we wrote custom Apex to handle the calculation logic. Results surface in dashboard components that update in real time.
Refined data architecture. Standardized the fields and relationships that the reporting layer depends on. Free-text fields that should've been picklists became picklists. Lookup relationships that were missing got built. The schema now enforces the data consistency that accurate reporting requires.
Validation rules. Every new investment record goes through validation before it's saved. Required fields are actually required. Format rules prevent the kind of inconsistencies that used to make reporting unreliable. The data stays clean without someone manually checking every entry.
Deal source dashboard. A dedicated view showing which sources drive the strongest investment opportunities — by volume, by return, by industry segment. Investment professionals now have data backing up what used to be gut feel about their deal funnel.
The Results
One hundred percent of portfolio reporting now lives in Salesforce. Excel dependency for investment analysis is zero. The spreadsheets that used to take an afternoon to update now update themselves.
